Proofreading is the process of reviewing a finished text to identify and correct obvious language errors such as spelling mistakes, grammatical errors, punctuation errors and typographical errors. It is a technical review that focuses on ensuring that the text is error-free rather than improving content or style.

Proofreading vs copy-editing

Proofreading is more limited than copy-editing. A proofreader corrects concrete errors but doesn’t rework the text or question word choices and structure. Copy-editing is more in-depth and includes an assessment of the text’s style, tone, clarity and how effectively it communicates the message. Proofreading is often used after the text has already been copy-edited and approved. It is the final safety check before publication or printing to catch any errors that might have occurred during final edits or in the layout work.

What does professional proofreading include?

Professional proofreading systematically checks spelling, grammar and sentence structure for correct syntax, punctuation according to current language standards and consistent formatting and typography throughout the entire text. The proofreader also verifies that references, footnotes and table of contents are accurate and that the layout appears professional. An experienced translation partner offers proofreading according to ISO standards with ISO-certified system support. For translated texts, the four-eyes principle is applied where both translator and language expert review the text, ensuring the highest possible quality. For business-critical communication, language review is recommended, which is more comprehensive than proofreading and ensures the message is communicated in an optimal way.
