Proofreading is the final quality control of a text before publication or printing. A proofreader carefully reviews the text to identify and correct language errors such as spelling mistakes, grammatical errors, punctuation errors and typographical errors. The goal is to ensure that the final text is technically error free and professional.

What does a proofreader check?

Proofreading focuses on concrete language errors without reworking the text’s content or structure. The proofreader checks spelling and detects misspelt words and typing errors, reviews grammar and syntax for correct sentence construction and ensures that punctuation such as commas and other punctuation marks are used correctly, as well as typography and formatting for consistent appearance. The proofreader also checks practical details such as page references, footnotes and contents pages, captions and numbering, as well as layout and line breaks to ensure professional presentation.

When is proofreading needed?

Proofreading is often carried out as the final step before publication, particularly for printed materials such as annual reports, brochures or books where correcting errors retrospectively is costly. It is also useful for digital content such as websites and press releases where language errors damage credibility. For business-critical texts, however, language review is recommended, as it is more comprehensive and ensures that both language and message reach the target audience.
